We may hold information about you because you have an account on the East Learning Portal in order to access training and development.
We take data protection seriously. Please be assured that your information will be used appropriately in line with data protection legislation; will be stored securely and will not be processed unless the requirements for fair and lawful processing can be met.
The information we hold about you will be the information that you provide on registration plus details of any courses that you have taken and any additional information that you supply on the My Audit pages. This will include:
Your name and email address
The team that you work for and your work address
Your work telephone number
Your job title and role
We hold your information so that we can provide training and development for you.
We aim to maintain high standards, adopt best practice for our record keeping and regularly check and report on how we are doing. Your information is never sold for direct marketing purposes.
We have strict controls on who can see your paper or electronic records. Nobody is allowed to see your information unless they have a valid reason and appropriate authorisation.
Our staff are trained to handle your information correctly and protect your confidentiality and privacy.
Your information is not processed outside of the European Economic Area.
Data is stored on a 3rd party database. This is administered via an internet based learning management system (LMS) which is hosted by an external supplier, WebBased Ltd. Any organisation commissioned by the Council will be under contractual obligation to comply with data protection legislation.
We collect and hold your data in order to provide you with training and development. If you are a member of ESCC staff then it is part of the Council's contractual arrangement with you and processing is necessary to carry out obligations in the field of employment. For other users of our services we collect and hold your data as part of our a legitimate interests in providing training and development for you.
All information processed by East Sussex County Council is subject to a retention policy which details how long we will retain the information. This is based on legal requirements and service needs. Particular care is being taken to ensure that records relating to Children's Services and the safeguarding of vulnerable adults are not destroyed inappropriately and therefore any training records that relate to these services will be held for 35 years. Any training records linked to Health & Safety and Occupational Health will be held for 50 years. All other training records will be held for 7 years.

Please note that if you request that your data is deleted from your system we will not then be able to give you information at a later stage. You are able at any time to generate a report from the system containing all your training and development records.
